What does Digital Media Services provide for Crime Stoppers?
- Website design and maintenance; ensure data is current; WordPress platform and associated applications are updated to the latest version; php – hypertext professor is on the latest stable version, and all internal and external hyperlinks remain functional
- Maintain all social media platforms (X, Facebook, Instagram, Bluesky, and YouTube); ensure frequent posts, information remains relevant, and moderate comments from the public. Ensure that inappropriate content and data/graphical elements that jeopardize the integrity of the program and its partners are promptly removed
- Maintain the organization’s email platform (@crimenb.ca / @nbcs-ecnb.com / @nbcs-ecnb.ca / @crimenb.com / @crimenb.org) and monitor intake for spam and phishing attempts
- Maintain the organization’s primary email account (info@nbcs-ecnb.ca) and respond to questions, media enquiries, and triage messages to appropriate individuals/chapters
- Monitor donation intake channels (PayPal, CanadaHelps, Donate a Car Canada) and ensure monies received are deposited to the proper account, and the Accounts Manager is informed for Official Receipt purposes
- Approach corporations, such as Google, Microsoft, Zoom, Box, Monday.com, VistaPrint, Mailchimp, Canva, Lenovo Computer Hardware, and TechSoup, to apply for technology grants and charitable discounts
- Ensure all web domain names and properties are properly registered and kept updated on an annual basis in accordance with their respective registrars
- Ensure all web security certificates are correctly installed (before their expiry dates) and operational to avoid cyberattacks or Hacking
- Ensure organizational information is kept current on websites and directories, such as NB 211 (United Way), Yelp, Google Search Engine, Bing Business Listings
- Assist the President and Executive with Media Releases and Communiques delivered to the public, and coordinate with Press Release distribution vendors (GlobeNewswire / Notified)
- Monitor news articles mentioning or involving Crime Stoppers and retrieve historical versions of provincial publications through membership with Postmedia (Telegraph-Journal) and Miramichi Online
- Provide editing and text copy services for Provincial Executive and Chapters
- Maintain and provide links to the organization’s intellectual properties – logos, trademarks, slogans, and wordmarks
- Maintain an Online Corporate Style Guide for personnel, volunteers, and members of the media
- Provide design, creation, and procurement of promotional materials and signage to assist the Promotional Director. Discover new and innovative products to promote/market the program
- Provide stationary to the Provincial Office, as well as customized pens, post-it notes, rulers, flags, nametags, luggage tags, water bottles, signage, banners, vinyl stickers, magnets, mousepads, badges, embroidered and screen-printed apparel, ink stamps, computer bags, and other promotional material (via VistaPrint Pro Advantage)
- Maintain an array of vehicle lighting equipment for parades and outdoor events
- Maintain a database and curated collection of graphics, typefaces, and stock photography for design purposes
- Collaborate with vendors and third-party contractors for design, marketing, and audio-visual development
- Work with vendor and website hosting companies in redesign and refresh activities for the website or during maintenance exercises
- Create, maintain, and distribute PDF fillable forms (via Adobe Acrobat Professional and Jotform)
- Provide basic graphic design and desktop publishing (via Adobe Creative Cloud – Photoshop, Illustrator, and InDesign) services to the organization
- Provide and maintain technological equipment, along with asset tracking: Laptop, tablets, Video Conferencing hardware (cameras, microphones, remote presenters), docking station, lighting rings, 4K projector, data storage devices
- Maintain and operate teleconferencing platforms – Microsoft Teams, Zoom, Google Meet, Slack and Slido – and develop/deliver training to members
- Develop policies and by-laws pertaining to the use of technology and social media use
- Maintain and provide QR (Quick Response) and Flowcodes for the organization; as well as trackable short links through a dedicated service (1800222.tips)
- Provide programming of customized policies on hosted platforms such as Zoho Connect, TeamUp, and SimplyVoting
- Provide generative Artificial Intelligence (AI) assistance for Ad and Internet Marketing through Animoto and ChatGPT
- Setup and maintain the organization’s IVR (Interactive Voice Response) system via Google Voice and Voice - used for Toll-Free Numbers and Provincial Office
- Maintain the organization’s communication platforms via Microsoft 365, Google Workspace, Slack, Box, Zoho Connect, and Mailchimp
- Work with translators and translation tools (such as DeepL) to ensure all content and systems are available in both official languages and maintain a database of frequently used phrases
- Ensure the organization’s web presence supports Accessibility standards (via UserWay and Level Access membership)
- Setup a procured list of online training courses available to Personnel and Members upon request (via Udemy)

Best practices when using SmarterMail, Zoho Mail, Google Gmail, and Microsoft Outlook:
- Ensure the desktop computer or mobile device you are using is trusted and free of malware
- We recommend using Google Chrome or Microsoft Edge internet browsers when accessing and ensure they are kept up-to-date
- Utilize multi-factor authentication (MFA) wherever available
- Avoid downloading company-sensitive information to your computer
- Take care no one is looking over your shoulder (shoulder surfing) when using the computer, especially in a public location
- Never reveal your Password to anyone. If you receive an anomalous email asking for sensitive account information, you must not disclose it. You should report the incident to the Digital Media Services office immediately when in doubt
- Create a strong, easy-to-remember password and one that you do not use on your other personal devices
- Avoid online fraud, phishing attempts, and con tricks. Learn to spot fake emails and websites
- When you are finished using Corporate Webmail, click the ‘Logout’ link in the top right corner of the webpage and completely exit the browser.
